  • Overview

    Under the direct supervision of the Nursing Director, the Staffing Coordinator is an entry level clerical role responsible for allocating nursing staff (24/7 schedule) based on a master schedule. The Staffing Coordinator works closely with Nursing Management to ensure appropriate staff coverage for the Nursing Units. Reviews staff schedules, identifies variances to staffing plan and contacts nursing staff for coverage. Additionally, the Staffing Coordinator assists in processing bi-weekly Payroll.

     

     

    Responsibilities

    • Consults with the Director of Nursing/Assistant Director of Nursing regarding staff requirements for vacations, paid holidays, etc.
    • Prepares staffing schedules every two weeks and posts it on the Friday of pay week
    • Independently adjusts daily schedules as needed, including assigning employees to different units and posts to each nursing unit to ensure proper operation of the department, including overtime based on the operational needs of the department.
    • Files and forwards all forms regarding vacations, personal days and holidays to the Human Resources Department.
    • Prepares a daily absentee report, enters information in the employee’s file and forwards to the Human Resources Department.
    • Prepares and forwards employee change of status information to the Human Resources Department.
    • Consults with the Director of Nursing/Assistant regarding changes in the master schedule.
    • Consults with the Director of Nursing/Assistant regarding scheduling concerns.
    • Contacts employees regarding scheduling and informs them of scheduling changes.
    • Enforces personnel policies and the 1199 collective bargaining agreement regarding the granting of leaves of absence, personal days, holidays and vacations.
    • Ensures documentation confirming each leave of absence is on file, tracks the time limits of leaves pursuant to personnel policies and the 1199 collective bargaining agreement, advises Human Resources when leave time limits are exceeded and makes certain employees meet all requirements prior to returning from leaves.
    • Maintains the confidentiality of all employee records.
    • Review attendance records for excessive absence and other attendance issues and forwards to the Director of Nursing for review.
    • Inputs information regarding new employees into the file, maintains employee records including name, address, telephone number, change of status, leave of absence and disciplinary action.
    • Verifies time records and overtime reports.
    • Performs related duties as assigned.
    • Ensure appropriate coverage across all shifts and days of the week. Continuously monitor and respond to staffing fluctuations or changes in acuity.
    • Monitor outside agency usage. Review contracts. Ensure appropriateness of agency services and fees.
    • Ensure timely and accurate distribution of employee pay checks for the nursing department following developed policy procedures.
    • Maintain confidentiality of clinical, personnel, and payroll information.
    • Submit slips for monitoring employee's status in the human resources and payroll systems.
    • Minimize the issuance of adjustment payroll check through effective efforts and by ensuring the accuracy of payroll entry and reporting processes.
    • Oversee the time and attendance system to ensure the efficiency and accuracy of the system with the Corporate payroll department.

    Qualifications

    • Current or previous experience as a staffing scheduler within a healthcare environment, highly preferred
    • Current of previous Payroll experience, highly preferred
    • Computer skills; proficient in Microsoft Word, Excel
    • Experience working with 1199 Union, preferred
